Project Associate

As an integral part of the project team, reporting directly to the Project Manager, the Project Associate is responsible for production of Fixed Equipment Books, room by room equipment lists, vendor summaries and other related project documents. The Project Associate acts as a liaison between the Project Manager and other internal support staff as well as client, architect, engineers, contractor and vendors assisting in coordination of all project related tasks and follow up. The Project Associate is responsible for requesting, inputting, forwarding and filing vendor quotations, preparing purchase orders, accounts payable review and payment submittals. Additional responsibilities include coordination of equipment delivery, installation, and vendor in-services.

  • Develops and maintains the project directory information
  • Prepares fixed equipment responsibility checklists
  • Prepares fixed equipment books
  • Prepares room equipment lists
  • Ensures proper equipment specifications and procurement
  • Processes all purchase orders
  • Secures acknowledgments on all orders
  • Makes expediting calls to ensure on-time and accurate delivery of products
  • Matches receiving documents, invoices and purchase orders to verify that orders were processed accurately and completely
  • Approves vendor invoices and forwards to the client for payment
  • Coordinates any necessary returns or warranty claims
